Control Record Ownership

The administrator can control which prospects are available to each user.

Control Record Ownership Using a Template

  1. In the Admin functions, click the Update Prospect Information tab.
  2. Click Prospect Record Owners
  3. Download the template and instructions. Enter the record ownership information, using prospect ID numbers to match prospects to users. Save the file in CSV format. 
  4. Return to the Update Prospect Information tab, then choose your CSV file, and click Upload.

Control Record Ownership Using Menus

  1. In the Admin functions, click the Record Owners tab.
  2. Click Designate/Remove Record Owners:

  3. Select All Records  (top left) or choose a saved search from the pulldown menu. Or create a filter (at right) to select a range of prospects.
    For example, you could create a filter to select the prospects whose last names start with A-M.
  4. Select a username from the menu (bottom) and click Designate.
  5. Or click Remove to remove the records from the user’s control.

Copy or Move Ownership

You can copy record ownership if you would like multiple users to work on the same set of prospects. Or you can move ownership if you would like to transfer all of a user’s prospects to a different user.

  1. In the Admin functions, click the Record Owners tab.
  2. Click Copy/Move Record Owners.
  3. Select the “from” and “to” users, then select the records to be moved, and click Copy or Move:
